Organize Your Work

The AppsInHD User Interface (UI) is designed to help you organize your work. The centerpiece of the user interface is My Workspace. My Workspace brings together all of the information you need to manage your day:

 

  • Tasks keep you on top of the work that has been assigned to you
  • Alerts bring you up to speed on unplanned issues that need your attention
  • Notes help you organize the extra information that doesn't quite fit anywhere
  • Guidelines help you find the unique 'how to' instructions established by your organization
  • Calendars help you see your scheduled workload
  • Roles allow you to subscribe and unsubscribe to specific workloads

My Workspace presents all of the information associated with you and your current Role(s) in one place, with links to quickly take action and get work done. You will also find all of this information available to the right of each Entity you work with. If you open an Employee (or any other) record, you will find indicators on the right side of the page that show you how many Alerts, Tasks, Notes, and Guidelines apply to that Employee. You will also see the indicators change colors based on status. At the top of each page, you'll see a summary of your Tasks and Alerts, also color-coded based on status. With AppsInHD, you'll always know what you should be working on!

Tasks

Tasks

Tasks allow you to organize and monitor workflows. Complex workflows can be constructed with Tasks that run in parallel or must wait for a prior Task to complete. In your workspace, you will see all of the open Tasks that are assigned to you or your Role(s), with color-coded status codes. Priority and Severity codes can also be used to help determine which Tasks to work on first. Upon completion of a Task, the Task is automatically removed from your workspace, and the owners of subsequent Tasks will be notified. 

Predefined workflows can be developed using Events that have a template of Tasks associated with them. A new employee may initiate an onboarding Event, which contains a variety of Tasks that must be completed within a certain period of time after the Event. Tasks and Events allow organizations to create and manage unique workflows for virtually any business process.

Alerts

Alerts

AppsInHD applications will raise Alerts when conditions merit your attention. There are three primary categories of Alerts within the system: Errors, Warnings, and Notices. 

Error Alerts indicate that the system has detected an issue that will prevent processing from occurring if it is not resolved, and are flagged red. 

Warning Alerts indicate that the system has detected an issue that you should know about, but will not stop processing from occurring, and are flagged yellow. 

Notice Alerts allow the system to inform you that a significant event has occurred, and are flagged green.

Alerts are associated with the Entity that caused them and the user or role responsible for them. You will see the Alerts assigned to you (or to any role you currently occupy) on your Workspace, with a real-time summary of Alerts at the top of each page. You can review Alerts by simply touching (or clicking on) the Alert on the screen. From there, you can use a link to jump to the underlying problem and fix it, or dismiss the Alert if it is not an Error. If the underlying condition causing the Alert changes, the Alert will disappear.

Notes

Notes
Notes

Notes provide the electronic equivalent of sticky notes. They allow you to attach textual information to any Entity in the system, and to control who can see the Note based on the User and/or Role. Whether you just want to remember that Robert doesn't like to be called Bob, or you want to remind your peers why you made an exception to the normal commission calculation, Notes give you an easy and effective way to capture and remember miscellaneous information in context.

Guidelines

Guidelines

Guidelines let you create Standard Operating Procedures (SOPs) and other organizational policies and publish them at the Entity Type level. This allows you to establish Guidelines that can help users remember what needs to be done in circumstances that occur less frequently, such as onboarding an employee, processing a foreign sales order, or receiving hazardous materials. Guidelines can also be a great training tool for new employees, giving specific step-by-step "how to" instructions for significant processes developed and approved for your organization's use.

Calendars

Lots of work can be planned in advance and automated. The Calendar view lets you see what Tasks and other work items are upcoming in a calendar format. For example, if you run a Payroll department, you can plan all of your Payrolls and Tax Filings on the AppsInHD calendar to get an electronic version of the Payroll Calendar many folks still have tacked to their wall. Your electronic calendar will automatically update with any Tasks you are assigned (based on the Due Date), so you can use it to assess your workload for the upcoming week and know whether you may need a little extra help!

Roles

Roles

AppsInHD is designed around the needs of dynamic organizations, where users frequently wear more than one hat at a time. Further, AppsInHD applications recognize that users sometimes occupy a role for a short period of time, such as when a peer goes on vacation and needs someone to cover for them. 

AppsInHD allows you to manage information in the system based on custom Roles that meet you organizational requirements. You can participate in as many Roles as you need to at any time. If a user in the Finance Role needs to occupy the Payroll Role for a week or so, they can simply be assigned to the Payroll Role in addition to their regular Roles, and gain access to the information, notifications, workflow, and authorization associated with that Role. When the period is up, remove the user from the Role and all Payroll related alerts, tasks, guidelines, etc. will disappear from their workspace.
